Responsibilities:

  • Answers phone calls, coordinates calendars, schedules meetings and supports visitors.
  • Prepare business correspondence, reports, agenda, letters, minutes and presentation materials as required
  • Assist with administration and logistical support for meetings (face-to-face and via video conference) to ensure efficient operation of the office
  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Exhibits polite and professional communication via phone, e-mail, and mail
  • Supports team by performing tasks related to organization and strong communication
  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques
  • Ability to work autonomously and collaboratively – comfortable in a fast-paced and multicultural environment
  • Ability to anticipate needs or problems, think “outside the box” and proactively offer solutions
  • Detail minded with the ability to prioritize workload and meet tight deadlines
  • Organization of the internal and external meetings, writing meeting agendas, minutes, preparing appropriate meeting materials  
  • Process invoices and expense claims for team members
  • Develop and update administrative systems to make them more efficient 
  • Assist with company social events
  • Perform receptionist duties when needed

Requirements:

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant – fresh graduates are welcome to join
  • Excellent communication skills
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills – Attention to detail and vocabulary 
  • Strong organizational skills with the ability to multitask
  • Basic knowledge of cryptocurrency mining, data centre management preferred  
  • Proficiency in Google’s G Suite (Gmail, Google Drive, Google Docs, Sheets, Slides, Calendar)
